Tuition Assistance Program (TAP)

The tuition assistance program provides remittance of tuition for full-time benefits-eligible employees of the USG. Please refer to UGA Tuition Assistance Program (TAP) home page for eligibility requirements, forms and deadlines.

Tuition Reimbursement Program

General Guidelines
The tuition reimbursement program is available to full-time benefits-eligible employees of the Libraries who have successfully completed at least six (6) months of employment in a benefits-eligible position as of the date of the registration deadline for the desired academic semester. Employees attending classes at non-University System institutions are eligible for tuition reimbursement for up to eight (8) semester hours of course work per semester. Tuition reimbursement is restricted to those employees who are pursuing an ALA-accredited master's degree or courses leading toward fulfillment of the Academy of Certified Archivists ' Certified Archivist requirements. Employees must show evidence of successful completion (a grade of "C" or better) of the course and be employed at UGA when the request for reimbursement is made. This benefit is subject to the availability of space and funding. 

Approval for Tuition Reimbursement
Employees must submit an application for tuition reimbursement (UGA TAP form) at least ten (10) days prior to the employees' registration period.  The immediate supervisor and the department head must approve requests for tuition reimbursement. If courses are taken during working hours, supervisory approval indicates that the employee's absence will not interfere with departmental operations or services. Forward the approved form to Margaret Hale in the Libraries Administration Office.  Graduate level courses may be considered taxable income if the courses are not job related. This determination is made by the University's Human Resources Department.

Tuition Reimbursement Procedures

  1. Apply for admission at the institution you plan to attend, through that institution's Office of Admissions and/or other related offices. 
  2. Obtain admission into the required course of study upon completing all admission requirements. 
  3. Complete application form for the Tuition Assistance Program (TAP) each quarter or semester. Forms may be obtained from the UGA Tuition Assistance Program (TAP) website
  4. Obtain supervisor and department head approval on the form. 
  5. Submit form to Margaret Hale in the Libraries' Administration Office.
  6. Register for the class. A maximum of (8) eight semester hours is reimbursed per enrollment period. 
  7. Upon completion of the class, submit a receipt of tuition and fees paid and an official grade report from the institution to Margaret Hale in the Libraries' Administration Office. Employees must earn a grade of "C" or better in order to be reimbursed. If grades are not awarded, a certificate of course completion is required. Note that reimbursement will not be made if the employee is no longer at the University.

Scheduling
An employee attending class during the normal work day may, at the discretion of his or her supervisor, adjust the normal work schedule or use accrued annual leave. Supervisors are encouraged to be as flexible as possible when adjusting working hours.
